How GeneralMind grew from 12 to 35+ employees with AI-native hiring

GeneralMind used Needle to build an AI-native hiring function after raising a $12 million seed round. The company had no hiring function yet. After GeneralMind uploaded its open roles, Needle sourced candidates, automated outreach, booked first calls, and kept the hiring pipeline up-to-date. GeneralMind's team stayed in control of every hiring decision.
"Needle helped us grow from 12 to 35+ people in weeks. We always know exactly where every candidate stands, without having to pay for agencies."
At a glance
- Company: GeneralMind, the team behind Razor Group
- Product: AI software for supply-chain operations
- Project: Scale the team after a $12M seed round — with no recruiter or talent team
- Options considered: Recruiting agencies, an in-house recruiter, legacy applicant tracking systems like Ashby with AI sourcing tools bolted on
- Why Needle: An AI-native system that finds candidates and runs recruiting without becoming another tool to maintain
- Result: Grew from 12 to 35+ employees without recruiter spend or additional overhead
The project: scale the team after a $12M seed round
GeneralMind builds AI software that automates repetitive supply-chain work across email, spreadsheets, and ERP systems. Its software handles tasks such as chasing deliveries, matching invoices, and updating records.
After raising a $12 million seed round from investors including Lakestar and Leo Capital, GeneralMind needed to hire across the company. Hiring sat squarely on the critical path: the roadmap depended on new people, but the company had no recruiter, no talent team, and no time to build a manual process. Every hour spent on recruiting operations was an hour not spent building the product or helping their customers win.
Success was concrete: fill the open roles and grow the team — without hiring recruiters or standing up a recruiting operation first.
The options GeneralMind considered
Two alternative paths were on the table:
- Recruiting agencies meant paying a fee for every hire — at roughly $15,000 per placement across 20 roles, that adds up to around $300,000 in fees alone — and someone internally would still have to maintain the pipeline.
- Legacy applicant tracking systems like Ashby, with AI sourcing tools bolted on, felt designed for companies that already had dedicated recruiting teams. They would slow a small team down - built to be operated by people, not for agents that do the work.
As an AI-native company, GeneralMind wanted the same operating model from its hiring software. It did not want another system that someone had to maintain by hand. It wanted a system that did the work: actively finding relevant candidates, running outreach, and keeping the process moving.
That meant choosing an applicant tracking system it could set up in an afternoon - one intuitive enough that hiring managers could simply chat with it, without learning a new UI or sitting through tutorials. Built-in sourcing mattered as much as tracking: the system needed to create a candidate pipeline, not only record the people who had already applied.
How GeneralMind ran hiring with Needle
GeneralMind set up Needle in about 30 minutes. The team signed up, uploaded its roles, and started using the product without an implementation call or weeks of onboarding.
Needle then began running the recurring work required to keep hiring active.
What Needle handles
- Finds relevant candidates for open roles
- Drafts candidate outreach
- Updates the pipeline
- Acts as a recruiting agent in Slack
- Prepares interviews
- Keeps candidate notes in one place
GeneralMind no longer has to check the pipeline constantly for missed follow-ups or stalled candidates. The team steps in when a decision requires human judgment.
By taking recurring coordination and administrative work off the team's plate, Needle gives GeneralMind more time for high-quality conversations with candidates.
"We're still the ones making the decisions. Needle keeps everything moving."
The result: a hiring function before a hiring team
GeneralMind grew from 12 to more than 35 employees — with no agency fees, no in-house recruiter, and no new operational overhead.
The hiring function exists; it just isn't a team. Candidates get sourced, outreach goes out, interviews get scheduled and prepared, and the pipeline stays current — while GeneralMind spends its time on the conversations and decisions that actually need a human.
Build a hiring function without adding the admin
What GeneralMind bought was not a candidate database or a workflow tool. It was an AI-native applicant tracking system that lets the team run recruiting from Slack. Needle helps teams source candidates, run outreach, coordinate first calls, capture interview notes, and maintain an accurate hiring pipeline.
